2. What data we process – and why

Table bookings and event enquiries. When you book a table or ask about an event, we process your name, email, phone number, date, number of guests and anything you write in your message. We use this to handle your booking and contact you about it. Legal basis: performance of a contract or steps prior to a contract (GDPR Art. 6(1)(b)).

Contact form and email. When you write to us, we process your name, contact details and the content of your message in order to reply. Legal basis: our legitimate interest in answering enquiries (Art. 6(1)(f)) or steps prior to a contract (Art. 6(1)(b)).

Lost and found. We process your name, contact details and your description of the lost item so we can find it and return it to you. Legal basis: legitimate interest (Art. 6(1)(f)).

Tickets, guest list and membership. Tickets, guest list sign-ups and memberships are handled by our partner Nyx (nyxapp.net), and some events are sold via Eventim Light. These providers process your data under their own privacy policies. We receive the data needed to give you access and manage your membership.

Analytics and marketing (cookies). With your consent, we use cookies and similar technologies to measure traffic on the site (Metricool) and to measure and target our ads on Facebook and Instagram (Meta Pixel and Meta Conversions API, sent via Stape). This may include your IP address, device and browser information, pages visited and actions on the site, such as a completed booking. Legal basis: your consent (Art. 6(1)(a) and the Danish cookie rules). You can change or withdraw your consent at any time using the “Manage consent” button at the bottom of the page.

Operations and security. To protect the site against attacks, our security software logs IP addresses and access attempts. Legal basis: legitimate interest in keeping the site secure (Art. 6(1)(f)).

3. Who we share data with

We never sell your data. We only share it with providers who help us run the site and our business, such as web hosting, email delivery, ticketing and membership (Nyx), analytics (Metricool) and advertising (Meta Platforms Ireland Ltd.). Providers processing data on our behalf are bound by data processing agreements.

Some providers, such as Meta and Google, may transfer data to countries outside the EU/EEA, including the USA. Such transfers are based on the European Commission’s Standard Contractual Clauses or the EU-US Data Privacy Framework.

4. How long we keep data

  • Bookings and event enquiries: up to 12 months after the event.
  • Contact form and email enquiries: up to 12 months after the last contact.
  • Lost and found: up to 3 months after the enquiry.
  • Data we must keep under the Danish Bookkeeping Act: 5 years from the end of the financial year.
  • Cookies: see the duration of each cookie under “Manage consent”.

5. Your rights

You have the right to access the data we hold about you and to have it corrected or deleted. You can also object to our processing, have it restricted and receive your data in a common format (data portability). Where processing is based on consent, you can withdraw it at any time. Email info@halmtorvet9.dk and we will reply as soon as possible and within one month at the latest.

If you are unhappy with how we process your data, you can complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark – datatilsynet.dk.
